# Tax Notices from Agencies

> What to do with a letter, email, or call from the IRS or a state agency, and what the common notices mean.

Read this when a letter, email, or phone call arrives from the IRS, a state tax agency, or an unemployment agency.

## What to do

  <Step title="Don't pay or reply yet">
    Many notices are just information: a new account number, a rate change, a filing receipt. Others repeat something Bolto has already handled. If you pay first, you can end up paying twice.

  <Step title="Send it to Bolto the same day">
    Scan or photograph every page, including the envelope if it has a date. Send it to [support@bolto.com](mailto:support@bolto.com) or your shared Slack channel. Add one line saying which state it's from and what it's about.

  <Step title="Bolto's tax team reviews it">
    Within a business day we'll tell you whether it needs action, what caused it, and who is handling it. If it's a filing or payment we're responsible for, we fix it. If it covers a period before Bolto, we'll tell you what to send your previous provider or CPA.

  <Step title="If a payment really is due">
    We'll confirm the amount and how to pay. Small state balances can often be paid by card in the state's online portal. We'll point you to it.

## Common notices

| Notice | Usually means |
| - | - |
| **New account number or rate notice** | Your state registration finished. Bolto enters the number and rate. Nothing for you to do unless we ask. |
| **Statement of account with penalty and interest** | A filing or deposit was late or missing for a quarter. Send it to us. If it's a period Bolto ran, we investigate and resolve it. |
| **Missing wage report, or "you have not filed"** | Often the agency hasn't processed a filing Bolto submitted yet, or the account was inactive on their side when we filed. We re-file and confirm. |
| **Request for information** | The agency needs something to finish your registration. Bolto's tax team tells you exactly what to send. |
| **Paid-leave or workers' comp program notice** | Some states (Minnesota paid leave, Washington L\&I, and others) require the employer to create a separate account or name an administrator. We'll walk you through it. |
| **W-2 or 1099 mismatch** | A name or SSN on a tax form doesn't match agency records. See [Name or SSN is wrong](/troubleshooting/paystub-or-deduction-looks-wrong#name-or-ssn-is-wrong). |

## How to get fewer notices

* Sign [filing authorizations](/taxes/filing-authorizations) as soon as they appear so Bolto can file.
* Complete new-state registrations as soon as you hire there.
* When you switch providers, agree who files the switch-over quarter.
* Keep your company address current in Bolto so agency mail reaches someone.
